Privacy regulations

1. General

These privacy regulations set out the privacy policy of Howzat Relocations Expat Services. We operate in the area of relocation services / expatriate assistance and process personal data in order to carry out these activities.

When you provide us with personal data, either as a client or as an employee of our client, we will save and process this data in accordance with these privacy regulations, unless specified otherwise. We will always handle your data in accordance with the General Data Protection Regulation (AVG) and other applicable regulations in connection to the protection of personal data.

HR Expat Services vof is responsible for processing your personal data and has its offices in Zaamslag, Axelsestraat 49, 4543 CD.

4. Why do we collect personal data?

We collect and process your data in order to be able to carry out our services, including relocation services, registrations, document assistance in relation to immigration, settling-in, housing services, etc.

We process the personal data that is necessary to carry out our services. You are responsible for the correctness and relevance of the information that you provide us.

The specific personal data that we process from our clients’ employees, if relevant and necessary, are as follows: name and address details, email address, telephone number, nationality, date and place of birth, gender, marital status, Citizen’s Service Number (BSN), bank account number, policy or customer number of health insurance, ID (copy), work permit (copy), employment contract (copy), residence permit (copy) and employer’s statement (copy).

For clients and business contacts the following personal data is processed: (business) name and address, date of birth (in so far as issued), email address, data for maintaining the business relationship, position and contact details.

The personal data is processed in so far as it is necessary for the optimal execution of our activities and services. We may (after your express permission) pass on your personal data to governmental institutions, mortgage providers, agents and/or owners of rental properties.


6. How long is the data kept?

We store your personal data no longer than is necessary for the purposes for which this data has been collected and will always adhere to the applicable legislation and regulations in this matter. We will regularly check to see whether it is still necessary to keep this personal data.


7. Security and confidentiality

We consider it important that your personal data is well protected. We therefore take appropriate measures to ensure that your personal data is protected from loss or any form of unlawful processing, and demand also of third parties who handle or process your personal data on our behalf that they do likewise, irrespective of whether this processing takes place in the Netherlands or elsewhere. These measures comprise both technical and organisational measures. Technical measures include physical and password security. Organisational measures include restricting the access to qualified personnel with a duty of confidentiality. The measures taken ensure an appropriate level of security based on the risks of the processing and the nature of the data to be protected.

We may from time to time make changes to these privacy regulations and post an updated version on the website. We advise you to regularly check the privacy regulations in order to keep up-to-date with the current policy regarding personal data.
